Refund Policy

This Refund Policy outlines the terms governing payments, cancellations, refunds, rescheduling, and token advances for services offered by Techdwell Physio Clinic (“Clinic”, “we”, “our”, or “us”).
By booking an appointment or making any payment to the clinic, you agree to this Refund Policy.

2. Appointment Confirmation Token
To confirm appointments, patients may be required to pay a token advance amount.
2.1 Token Amount
- A token advance of ₹200 is generally required to confirm an appointment.
- The token amount is adjusted against the consultation or session fee payable at the clinic.
3. Non-Refundable Token Policy
The token advance is generally non-refundable.
The clinic reserves appointment slots and allocates professional time based on confirmed bookings. Therefore, refunds are not ordinarily provided for:
- cancellation requests,
- missed appointments,
- late rescheduling,
- no-shows,
- or patient unavailability.
4. Rescheduling Policy
4.1 Eligible Rescheduling
Patients may reschedule appointments without losing the token amount if the request is made at least 48 hours before the scheduled appointment time.
Rescheduling may be done through:
- the appointment confirmation link,
- WhatsApp,
- or direct communication with the clinic.
4.2 Late Rescheduling
Rescheduling requests made within 48 hours of the appointment may result in forfeiture of the token amount.
Approval of late rescheduling remains solely at the discretion of the clinic.
5. Cancellation Policy
5.1 Cancellation Before 48 Hours
If a cancellation request is made more than 48 hours before the appointment:
- the clinic may, at its discretion,
- allow rescheduling,
- retain the token for future appointments,
- or provide partial adjustments.
Refunds are generally not guaranteed.
5.2 Cancellation Within 48 Hours
Cancellations made within 48 hours of the appointment time shall normally result in forfeiture of the token amount.
No refund shall be issued in such cases.
6. No-Show Policy
If a patient fails to attend the scheduled appointment without prior notice:
- the booking shall be treated as a no-show,
- the token amount shall be forfeited,
- and no refund or adjustment may be provided.
Repeated no-shows may result in refusal of future advance booking privileges.
7. Refund Eligibility Exceptions
Refunds may be considered only under exceptional circumstances including:
- duplicate payment,
- accidental overpayment,
- payment deducted but appointment not confirmed,
- technical transaction failure,
- or cancellation initiated by the clinic.
All such requests shall be subject to verification and approval.
8. Duplicate or Failed Transactions
8.1 Duplicate Payments
If a payment is accidentally made multiple times for the same booking, patients should contact the clinic with:
- payment receipt,
- transaction ID,
- and booking details.
Verified duplicate transactions may be refunded after review.
8.2 Failed Transactions
In some cases, payment may appear deducted due to banking or gateway delays even if the booking is unsuccessful.
Patients are advised to:
- wait for bank reconciliation,
- check payment status,
- and contact the clinic if required.
Banks or payment gateways may automatically reverse failed transactions according to their internal timelines.
9. Refund Processing Timeline
Approved refunds, where applicable, may take:
- 5 to 15 business days,
- or longer depending on:
- banking systems,
- UPI providers,
- card issuers,
- or payment gateway processing times.
The clinic is not responsible for delays caused by third-party financial institutions.
10. Mode of Refund
Refunds, if approved, shall generally be processed through the original payment method used during the transaction.
The clinic reserves the right to choose an alternate refund method where necessary.
Cash refunds may not be provided for digital transactions except where legally required.
11. Clinic-Initiated Cancellation
If the clinic is unable to provide the scheduled appointment due to:
- emergency situations,
- therapist unavailability,
- technical issues,
- operational constraints,
- or unforeseen circumstances,
the patient may be offered:
- rescheduling,
- credit adjustment,
- or refund at the clinic’s discretion.
12. Treatment Satisfaction
Physiotherapy outcomes vary between individuals.
Refunds shall not be provided solely on the basis of:
- dissatisfaction with recovery speed,
- perceived treatment effectiveness,
- incomplete attendance,
- or subjective expectations.
Patients are encouraged to discuss concerns directly with the treating professional.
13. Chargebacks and Payment Disputes
Patients are encouraged to contact the clinic before initiating chargebacks or payment disputes through banks or card issuers.
Fraudulent or abusive chargeback claims may result in:
- suspension of services,
- legal recovery proceedings,
- and reporting to relevant financial institutions where applicable.
14. Limitation of Liability
To the maximum extent permitted under applicable law, Techdwell Physio Clinic shall not be liable for:
- indirect losses,
- banking delays,
- payment gateway failures,
- internet issues,
- transaction interruptions,
- or unauthorized banking actions beyond the clinic’s reasonable control.
15. Policy Updates
The clinic reserves the right to modify or update this Refund Policy at any time without prior notice.
Updated versions shall be posted on the official website with the revised effective date.
Continued use of services after updates constitutes acceptance of the revised policy.
